Some emails just sit there, half-written, all day. The tone is off, or it is too long, or you are dreading how it will land. An AI like Claude is wonderful for exactly this — not to replace your voice, but to help you find it faster.

Give It the Ingredients, Not Just “Write an Email”

The secret to a good draft is a good request. Tell the AI three things: who it is for, what you need to say, and the tone you want. For example: “Write a short email to my landlord asking to fix the kitchen faucet. Polite, friendly, but clear that it has been a week.”

The more you hand it, the more it sounds like you and less like a robot. You can even paste a few messy notes and say, “Turn this into a warm, organized email.”

Four Prompts for Everyday Emails

Polish a rough draft: “Here is my draft. Fix any awkward parts and keep my voice. Do not make it fancy.”

Soften a hard message: “Make this firm but kind. I do not want to sound angry, just clear.” Wonderful for declining, complaining, or setting a boundary.

Shorten a rambler: “Cut this in half. Keep the main ask and the friendly closing.”

Fix the tone up or down: “Make this a little more formal for my doctor,” or “Make this more casual for my neighbor.”

Reply Help, Not Just New Emails

Stuck on how to answer? Paste the email you received and say, “Help me reply. I want to say yes to the lunch but no to the loan, gently.” The AI reads the whole thread and drafts a response you can trim to fit. You are still the author; it is just the helpful first pass.

The Privacy Rule: Keep Secrets Secret

This one matters. Do not paste sensitive information into any AI tool — Social Security numbers, bank or card numbers, passwords, medical details, or another person’s private information. Treat the chat box like a postcard, not a locked drawer. If you must reference something private, use a placeholder like “[account number]” and add the real detail yourself after you copy the draft into your email.

Read Before You Send

An AI can quietly change a fact, a name, a date, or a dollar amount while it “improves” your writing — and it can sound completely sure while doing it. Always read the final draft with your own eyes before you hit send. The words go out under your name, so make them truly yours.

Ayuda para responder, no solo correos nuevos

¿No sabes cómo contestar? Pega el correo que recibiste y di: «Ayúdame a responder. Quiero aceptar el almuerzo pero rechazar el préstamo, con delicadeza». La IA lee todo el hilo y redacta una respuesta que puedes recortar a tu gusto. Tú sigues siendo la autora; es solo el primer intento servicial.

La regla de privacidad: lo secreto, secreto

Esta importa mucho. No pegues información delicada en ninguna herramienta de IA: números de seguro social, de cuentas o tarjetas, contraseñas, detalles médicos o información privada de otra persona. Trata la ventana de chat como una postal, no como un cajón con llave. Si necesitas mencionar algo privado, usa un marcador como «[número de cuenta]» y añade tú misma el dato real después de copiar el borrador a tu correo.

Léelo antes de enviarlo

Una IA puede cambiar sin aviso un dato, un nombre, una fecha o una cantidad mientras «mejora» tu texto, y puede sonar totalmente segura al hacerlo. Lee siempre el borrador final con tus propios ojos antes de darle a enviar. Las palabras salen con tu nombre, así que hazlas de verdad tuyas.
